How to Scan Documents to PDF

Capture straight, readable pages with consistent light and manageable file size.

Set up the capture

Place the document on a flat contrasting surface, use diffuse light, and keep the camera parallel to the page. Fill the frame without cutting off edges.

Capture for the content

Printed text usually benefits from about 300 dpi equivalent resolution. Fine diagrams and small type need more detail; very high resolution increases storage and processing time without always improving OCR.

  • Avoid shadows and glare
  • Keep all four corners visible
  • Retake blurred pages immediately

Assemble and inspect

Put pages in order, rotate them consistently, run OCR if search is needed, and check names, totals, signatures, and page count before sharing. Store sensitive scans only as long as necessary.
