DOCX to PDF Formatting Guide

Prepare fonts, sections, images, and pagination for a more predictable conversion.

Stabilize the source document

Use paragraph and heading styles instead of manual spacing. Resolve tracked changes, update fields and tables of contents, and remove comments not intended for the recipient.

  • Use common or embedded fonts
  • Set explicit page size and margins
  • Anchor images intentionally

Watch layout-sensitive features

Floating objects, text boxes, section breaks, columns, complex tables, equations, and custom fonts are common sources of variation. A conversion server may not have the same fonts or rendering engine as the authoring computer.

Review the exported PDF

Compare page count, headers, footers, footnotes, table breaks, image crops, links, and bookmarks. Manual adjustment may be required for complex layouts; preserve the DOCX as the editable source.
